Making Moments Into Memories | Event & Sporting Portfolio By Chloe Shelby
W E L C O M E.
BE is a concept that appeals to all, as the human experience is solely about existing, being, in a moment that inevitably becomes a memory. Growing up as a camper and counselor for Camp Doublecreek based in Round Rock, Texas, the late founders had a statement rich in meaning and one that perfectly encapsulates the value of the sports and entertainment industry: "we didn't know we were making memories, we were just having fun." As coordinators, we know the magic of creating a moment, but the value for those on the receiving end is one that is felt as it ripens in years to come. May this website not only be the final project of my collegiate tenure, but one that may continue to be developed to share the highs and lows, the victories and triumphs, the twists and turns, of experiences I get to craft for myself and others moving forward. The event industry is so much more than weddings, expos, concerts and gamedays.
It is the little moments in between and ordinary days that with proper planning, become extraordinary.
Welcome to BE. May you be inspired. Motivated. Rejuvenated. And joyous about this beautiful life we get to each be a part of.
-Be Well, Chloe
CAREER ASPIRATIONS.
The term "Football Operations" fails to capture everything that goes into the field. Condensed, I like to describe this sector as "being the camp counselor for the football team." While the position manages the day to day workflow of the office, hones in on travel and may wear multiple hats/aid other departments within the football realm, what many fail to realize is the amount of event coordinating that makes up a season. In the grand scheme of things, the games themselves are only minute moments. Specifically within team operations, the part that captures my heart is the ability to develop and execute programming that enriches the athlete's experience beyond the gridiron. Through internships and part-time roles in marketing, equipment, video, nutrition, sports medicine, player services and of course, operations, I have had the ability to see every detail of what produces sport. Without playing on the gridiron myself, I am still able to closely relate to knowing exactly what a day in the life of a football player is like and with that, produce events suitable for honoring the team, reflecting on the season, bridging relationships within the community, developing as leaders and professionals, or simply bonding with teammates in a fun manner. Specifically with Player Development and Legends-based events, no longer is it just a job, but in the moment, players are reminded of purpose and the greater significance of life that exists off the playing field. And much like post-summer camp, the relationships after each event grow stronger and the conversations and trust that is fostered help me, players and fellow co-workers become more human. Purposeful programming is key in providing a successful event to attendees and that is something the Team Operations field of football allows with each and every chapter of the season and player's story with the organization. Many love the game and the jersey and the brand, but my fire ignites for the experiences I can produce for the human beneath the uniform so he may continuously grow and flourish in his journey as a player and in every aspect after.
PERSONAL PROJECTS.
To fully serve players well, it is vital to know their why and build on the weak points within their organization. The summer of 2023 I created a survey to collect critical data of current and former collegiate and professional football players of all levels so I may remain intentional during programming efforts, as well as to gain perspective of experiences from the past, present and future of gridiron competition.
If you are a current or former collegiate and/or professional football player, please help grow this data. All responses will remain confidential.

Texas A&M 24th Annual Kickoff Camp | August 13-15th, 2021
Halted only once from the 2020 global pandemic, for twenty-four years, Kickoff Camp has been the most exclusive invite-only donor event offered to Texas A&M Football's highest donors. For three days, "campers" are eligible to walk in the shoes of Aggie Football players at the most anticipated event leading up to kickoff;
this includes meals at Slocum Dining Center, recruiting photoshoots, facility tours, sitting in on team meetings and attending the final days of Fall Camp practices. Additionally, exclusive talks provide a deeper look into varying departments, such as Recruiting and Player Personnel, reinforcing the value of
the weekend and to show full appreciation to those who have generationally supported the program through their financial investments. The Operations Assistants played a prominent role leading up to the event and throughout the weekend. Gifts for the campers included branded Peter Millar polos and quarter-zips, a special script Adidas dri-FIT, travel cases and other exclusive gear unavailable anywhere else, which we organized, labeled, and distributed to campers upon their arrival on day one. The goodie bag pictured below was the farewell gift, in which I spent a large chunk of a day stuffing each bag and tying the ribbon into bows. For many events Football Ops produces
outside of camps, I have learned preparation is the most demanding aspect rather than the event itself. Once everyone arrived, our role was predominantly small setup of directional signage, tidying things up, herding guests to the next place on the schedule and being present at the post-meeting cocktail receptions to provide rides from Bright Football Complex to Northgate. With a full slate of future events proceeding Kickoff Camp, once the affair concludes, careful considerations for gifts and recognition items are already taken into account to make next year's event continually valuable for returners and those experiencing for the first time.

Texas A&M Football Family Tailgate | Every 2021 Home Game
Formerly located in the Gilliam Indoor Track Stadium, Football Family Tailgate provides a space for player families and guests to obtain their tickets while gathering for fellowship and food prior to kickoff. Throughout the week, the Operations Assistants Team spearhead a number of small details to ensure the overall Saturday tailgate ran smoothly for all parties in attendance. From ensuring players met their deadline of submitting guest names to the tailgate RSVP link, arranging balloon centerpiece specifics with local grocer, H-E-B, and communicating pickup, drop-off and setup details with linen and centerpiece distributor, Ashley & Co., home game weeks were event galore central. On the day of the event, final adjustments were made, we monitored guest check-in and helped clean up
before kickoff. Of the many times I helped produce this event, two of the most interesting learning situations arose in our season opener and annual game versus South Carolina. During tailgate number one, after spotting a small dead bat at the foot of the compliance table right as the doors opened, I had to subtly alert full-time staff in a way that would not disrupt the flooding crowd of those checking-in, while still keeping guests safe. In the South Carolina game, I was tasked with mitigating the tailgate line while my counterparts worked behind the scenes to solve a water crisis when the utilities of our location had been interrupted. Though both were unfortunate at the time, these unusual moments added quick thinking and confidently facing conflict to my professional toolbox for future crisis.

Texas A&M Football Banquet | December 5th, 2021
Leading up to the actual banquet day, the Football Operations team worked after-hours to create center pieces, as well as seating arrangements for our over-sized staff. Using a Cricut, we used words valuable to the team to place on transparent frames that sat alongside a mixture of flowers and vases. Additionally, I was able to help collect RSVP's from our guest surveys, add names to the banquet script and sit in on the initial floor plan meeting to discus lighting, table placement, type of food distribution and a general timeline of the event. On the evening of the banquet, I checked-in players and their guests, directed offensive players in award flow and presented two student-athletes with their senior jerseys, as displayed in the center picture.
Despite a mediocre season, the 2021 Football Banquet was a time to gather players, families, personnel and other departments who have contributed to A&M Football over the year. In doing so, individual and team awards were distributed, game highlights were displayed, bowl game selection was announced and the exiting seniors were commemorated one last time. In having such a hand in creating this event, I learned how meticulous establishing a seating chart can be when keeping in mind strategic placement of those receiving awards in a functional position while still placing teammates with their friends, timing when to setup after a large-scale event occupies the same space the night before and the significance of factoring in no-show estimations during preparation.

Hula Bowl Celebrity Golf Tournament | January 13th, 2022
With the Hula Bowl taking the game to the mainland for the first time, to build engagement on gameday eve, the 1st Annual Celebrity Golf Tournament was hosted just outside of Orlando at Alaqua Country Club. Partnering with non-profit, KinderVision: The Greatest Save, this event was unique in the fact that the initial tournament director fell ill the day I arrived and was unable to be contacted, therefore I was tasked in working with the director's daughter from the foundation to put the tournament together virtually from scratch. Previously interning with the American Junior Golf Association just a few months prior and with a handful of golf reunions as a volunteer under my belt, I had enough knowledge of key essentials to conquer
the task of coordinating a last minute tournament. From arranging a course visit and communicating with the Head Golf Professional on contest hole locations and celebrity-guest pairings, to ensuring all sponsor needs were met, the preparation was intensive, but one of the most rewarding productions to witness. The day of the event, I took to heart a comment one of the coaches who was playing made: "the hardest part is everything before the tee off," which was completely true. People don't know what they don't know, and despite the chaos of preparation, between our beverage and food sponsors, post-round entertainment and silent-auction items, guests were immensely pleased with how the day all came together.

Hula Bowl All-Star Classic Game | January 14th, 2022
Played for the first time on the mainland since its 1946 establishment, The Hula Bowl All-Star Classic Game is an annual collegiate senior matchup showcasing the best players in NCAA football and viable NFL Draft contenders. After reaching out to a scouting assistant on LinkedIn, I spent the first two weeks of January as the sole
Executive Intern. To bring the game to fruition since its relocation from Hawaii, I wore every hat to help ownership pull off what would be a successful game in which all 32 NFL teams, the WWE, the XFL and the USFL would have scouting representation at. During week 1, I reviewed team rosters with the two head
coaches, ownership staff and personnel directors, joined in site-visits, communicated with our equipment vendor to ensure all practice and gameday jerseys were accounted for, was diligent in finding a quick turnaround shipment for jersey nameplates, paired roommates and created graphics that could be distributed on social media and at bars to bring local masses to the game. During week 2, my operational role was mostly consumed by organizing the Celebrity Golf Tournament, however when not planning for that, I transported players from training in Miami to our Orlando site, pulled together a hydration plan for practices, provided light medical aid
to cramping players, distributed meals, answered sponsorship and ticketing inquiries, captured video and photography at Bowl Week events and sat in on scouting report meetings. While I had worked as a Texas Bowl intern for the 2018 and 2019 games, as the only intern for the Hula Bowl, I was truly able to put all skills I had from previous football and athletic pursuits to the test and lead the way for others. When in doubt, I reached out to professionals I had worked with in past experiences to figure out how to make adjustments while in Orlando, as well as learned in depth detail about all that goes into the NFL draft process from a professional and player's perspective.

Texas A&M Football Spring Game Weekend | April 8th & 9th, 2022
April in Aggieland marks the summit of a concluding academic year. With Parents Weekend, Ring Day and a plethora of spring sporting events, the Maroon and White Game allows players receiving their Aggie Rings to be formally recognized and celebrated by their families while showcasing off-season production the following day. With many of the players often confined to the "student-athlete bubble," the key takeaway from coordinating this weekend was learning this was a big a-ha moment when many of the older players discover the power of the Aggie Network with all of the returning alumni in town. As the team's Player Liaison, I reminded players to confirm how they would like their ring presented to them. Particularly for April's Ring Day, I coordinated the team's first
post-COVID ceremony where guests could be invited. Communicating with 12th Man Productions, I secured a videographer and photographer to capture a surprise ring gifting to Defensive End coach, Terry Price, who had previously lost his ring twice. Additionally, I created the slideshow presentation of players and student-workers receiving their rings at the ceremony, bought drinks and hors d'oeuvres for the post-ceremony reception and captured Polaroids of players and their families as a hard copy takeaway. Duties for gameday included strategizing layout for the new tailgate location as renovations to the indoor track had broke ground, setting up direction markers for coach and player guests and wrangling players who would be recognized at halftime for academic honors.

Texas A&M Pro Day | March 22nd, 2022
After years of refining their craft and making a name for themselves at the collegiate level, Pro Day is an annual opportunity for Aggies to showcase their skills for NFL Scouts before the Draft. This year, the exhibition fell the Tuesday after Spring Break, requiring all hands on deck to ensure everything was smooth sailing for the day of. After welcoming the mid-year rookies in January, Pro Day was the key focal point of the Spring Semester, as communication with players returning from their training centers was high priority, multiple former players and surrounding players were added to our testing list last minute and it took patience waiting for the sweet spot between the Super Bowl and NFL Combine to hear back from all 32 scouts from the league. Other critical planning elements for
the event included limiting credential creations,
a challenge unique to our school who has one of the largest athletic departments in the country. The night of arranging the testing area, just as we completed setup, the Operations team had to seek shelter immediately, as tornadoes had touched down nearby. In this time, before going underground to the Player's Lounge for safety, I swept the cafeteria to ensure all players had also found refuge or left the facility immediately. Luckily, the next day had raving feedback from the NFL representation. While watching the skills assessment was exciting, the most valuable moment of the day came from protecting player's belongings as they did their height and weight testing, a small moment of stillness allowing a glimpse of the mental preparation the guys were going through in the midst of so many moving parts throughout the rest of the lobby.

NCAA Men's Golf Regional | May 27th-June 1st, 2022
For four days straight, Traditions Golf Club in Bryan, TX was occupied by some of the greatest golfers in the 2021-2022 NCAA season. As host-site for the Collegiate Men's Golf Regional Championship, prior to the event, Director of Texas A&M Golf Operations, Hunter Goldsmith, held an intensive training for all volunteers, my role in particular serving as one of the most essential. Back in 2020, I had volunteered with the AJGA as a Pace of Play (POP) Monitor to improve playing time and shorten the length of the game. This role has become more prominent in the new-era of golf, therefore it came full-circle to conclude the big two years I had jumping into this side of the sport industry by my last tournament in College Station volunteering as a POP Monitor.
After a group and personal POP training, we were prepped with emphasis on radio etiquette, communicating how groups are doing on the course and notifying if any players fall behind their approximated finish time. For three days I happily only needed to issue two groups a warning, which encouraged them to speed up and be more intentional about playing "ready golf." A small aspect about Traditions that makes a big overall impact is knowing the course. With the architectural design, it was very easy to get lost in navigating the front versus back nine, and especially with a POP role, it was important to be ready to go and staged near the green early, rather than cutting it close, or arriving after players in case groups fly ahead of time.

DC Commanders Private XFL Workout | September 24th, 2022
Subsequent to seizing a LinkedIn women in sports volunteer opportunity, a team of myself and two local Nashville minor league baseball professionals assisted Director of Team Operations, Stacie Johnson, in organizing a private XFL workout for the DC Commanders. In its much anticipated return since the organization's fold in 2020, players across the country who did not make an NFL roster are allotted a second chance to follow their gridiron dreams through this feeder league. Utilizing my connection as a part-time assistant with the Tennessee Titans, prior to the workout I helped Stacie contract out a security guard and reviewed local eateries in close proximity to the school for staff lunch. During the event, I greeted prospects, two who happened to be my Hula Bowl athletes, distributed numbers at check-in and most
important, quickly devised a hydration plan after acknowledging the lack of products available during breaks. Pulling one of the tables from the athletic training station, another volunteer and I used all the Gatorade we could find to help players replenish electrolytes, especially as it warmed up in the afternoon session. Coming from a program deep in resources, such as Texas A&M, it was eye-opening to realize how crucial the small things such as providing assistance to athletic trainers are. Additionally, in the downtime of practice, I was able to receive first-hand insight on how the logistics of this third rendition of the league will be more sustainable than the previous years, as well as gaining insight on the financial challenge it takes to secure a facility just for something as short and simple as position and skill training.

Opal’s Walk for Freedom | June 19th, 2023
With 47 states officially recognizing Juneteenth as a holiday, Opal Lee began a walking campaign to bring attention to the need for its establishment of becoming a National Day of Observance. Originating in Fort Worth, Lee walked 2.5 miles in unity with community members to display the symbolsim of the 2.5 years it took for the news and enforcement of freedom to reach the enslaved people of Texas. Now at 90 years old, the “Grandmother of Juneteenth” was a historic figure I was able to engage our student-athletes with witnessing in the flesh to further digest the power of Juneteenth and cultural significance in real time. On behalf of Frogs for Life, I spent two weeks collecting player RSVP’s through a Google Form and teamed up with our Student-Athlete Development graduate assistant to
transport our 7 registered players to the event with the department’s van. Communication regarding summer workout conflict and approval of player attendance created a questionable outcome that almost led to the event’s cancelation, however on the morning of, we experienced an overall total of 17 players show up (3 veterans and 16 out of 17 members of our rookie class), in addition to 8 out of 10 full-time academic support staff, which helped build cohesion and camaraderie the rest of the summer among both groups. With many of the freshman not knowing what Juneteenth was before attending the event, I created a post-event feedback survey, with key takeaways being the realization of the impact one can have for an entire culture and understanding history from the past remains ongoing today.
